Coordinator, Development

Reporting to the Executive Director of Annual Giving and Alumni Relations, the Development Coordinator provides project management, event support, and administrative assistance to the Development / Alumni Relations Office by helping to build a culture of philanthropy that will assure the preeminent place of ArtCenter in the world of art and design schools, and the success of ArtCenter’s alumni by creating opportunities, fostering connections, and supporting continued education.

Qualifications

  • 3-5 years of progressively responsible experience in office or general administrative environments
  • Experience with the successful planning, production and management of special events with external guests
  • Detail-oriented with strong organizational, multi-tasking and prioritizing skills, and the ability to follow through on projects to completion in a fast-paced office
  • Excellent organizational and proofreading skills, including the ability to identify errors in data
  • Strong commitment to customer service excellence
  • Strong interpersonal skills with the ability to work collaboratively as part of a diverse and collegial Development team, and with faculty, staff, students, alumni, donors and volunteers
  • Strong computer skills with proficiency in MS Office Suite including Outlook, Word, Excel and PowerPoint, Adobe Acrobat and databases
  • Ability to work evening hours, occasional weekends to staff events
  • A commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business


Preferred Qualifications

  • Bachelor’s degree from an accredited college or institution
  • Previous experience in fundraising, development, and/or alumni relations
  • Experience with Blackbaud and/or Raiser’s Edge
  • Knowledge and appreciation of art and design education
  • Prior work experience in higher education
  • Positive energy and sense of humor

Essential Functions

Administrative support — 90%

  • Provide administrative and clerical support to the department including processing of incoming mail and delivered packages, photocopying, filing and communicating messages, purchasing, and assisting with alumni walk-ins, library cards and alumni directories.
  • Assist Director, Annual Giving in preparation of FullCircle direct mail appeals, proposals, renewals, contact reports, file action reports, etc.
  • Provide administrative support for alumni and donor events, including managing event RSVPs and general event coordination; work evening and weekend events as necessary
  • Greet alumni, donors and friends, and answer incoming telephone calls and others requesting assistance or information about the department or programs
  • Manage the tracking and storage of alumni news information; work closely with Marketing and Communications to share alumni stories in partnership with Director, Alumni Relations
  • Maintain the departmental calendars related to alumni relations, annual giving and the College’s volunteer groups including FullCircle, Williamson Gallery Patrons, ArtCenter 100, San Marino League and Pasadena Art Alliance
  • Fulfill donor and alumni benefits and reorder merchandise items as necessary
  • Coordinate and attend meetings when required—create and distribute agendas, take notes, prepare and distribute minutes, and document strategies and next steps in Raiser’s Edge to ensure timely follow-up
  • Work with database managers to coordinate record-keeping and reporting related to donors, alumni and prospects; ensure that record-keeping and reporting is accurate, thorough and timely
  • Coordinate and track all department purchasing and expenses, process purchase orders and check requisitions, wire transfers, faculty payment forms, food service forms etc.
  • Staff events; assist with coordination of campus tours and other special events, including guest lists, room and facilities reservations, catering, invitations, RSVPs, and follow-up

    Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals.     Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

    Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
