Exchange and Study Away Advisor

In support of international and domestic off-campus academic programs, the Study Away Advisor in the Exchange and Study Away office at ArtCenter College of Design will assist in student advising, outreach, and preparedness for success in study away opportunities. This position will also assist in study away program planning and management from development phases to assessment, including marketing and recruitment, application processing, and addressing student issues pre-departure and while students are away. The Advisor will develop and lead international education co-curricular programming. This position will work closely with both the Assistant Director and the Director of Exchange and Study Away as well as department chairs, faculty, and students.

  • Bachelor’s degree in education, counseling, business or related field from an accredited college or institution
  • At least two years of experience working in an education abroad office or in study abroad advisement
  • Ability to problem solve, organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines; ability to work effectively both independently and within groups
  • Effective oral and written communication skills in order to communicate with staff and the campus community, collaborate, establish and maintain cooperative working relationships
  • Excellent research, written, oral communication, and presentation skills
  • Excellent attention to detail and organizational skills
  • Strong computer skills, with proficiency in Microsoft Office Suite and Terra Dotta database or similar software
  • Handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
  • Demonstrated experience in and a commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities

Preferred Qualifications

  • Master’s degree in education, counseling, business or related field from an accredited college or institution
  • Previous experience studying abroad at the undergraduate level
  • Experience in art and design education

Essential Functions

Study Away Programs – 90%

Student Advising

  • Advise and support students, during scheduled meetings and drop-ins, on the study away application process and during pre-departure, program, and returnee phases.
  • Understand and advise on ArtCenter and partner policies and procedures, develop advising materials.
  • Implement student outreach and engagement practices across multiple campus locations, develop recruitment strategies and marketing materials for faculty-led programs, exchange programs, as well as other related educational initiatives. 
  • Coordinate and lead information sessions, assist with pre-departure orientations and re-entry meetings.
  • Advise students on financial aid as it relates to study away, including the Diversity and Access Travel Stipend Award and external scholarships.
  • Advise students on transfer credits, international travel planning and safety, visa considerations, cultural awareness and intercultural communication skill building, health and wellness, finances, and networking opportunities.
  • Maintain awareness of OSAC reports and advisories and communicate to students away as appropriate, support Study Away Emergency Response Team as necessary.
  • Program Development
  • Lead workshops and co-curricular programming in partnership with academic and student affairs offices across campus, such as the Center for the Student Experience, Career and Professional Development, and Financial Aid.
  • Develop programming and assist with managing annual International Education Week and New Student Orientation events and workshops.

Program Administration and Research

  • Process study away applications and generate reports using Terra Dotta.
  • Create and edit content for the Exchange and Study Away website using Wordpress.
  • Maintain communications with partner institutions, external program providers, and vendors.
  • Manage departmental social media accounts.
  • Deploy and collect student program evaluations and faculty reports, and assist in administering other campus wide surveys.
  • Code study away participants in Colleague for study way program course registration purposes and Cognos reporting.
  • Research and advise on specific country entry requirements for each program.
  • Research external scholarship opportunities.
  • Create and collect study away program and Diversity and Access Travel Stipend Award assets for the department website and promotions.
  • Assist in editing the Exchange and Study Away Handbook.
  • Maintain departmental files, reports, and databases.


  • Coordinate with accounting to apply program fees to student accounts.
  • Process check requests and student stipends.
  • Budgeting for events and programs.

Other duties—5%

  • Maintain memberships and active involvement in applicable professional organizations.
  • Assist with events by drafting announcements, arranging catering, room scheduling, requesting AV, and putting together materials.
  • Provide administrative support, including ordering office supplies.
  • Assist in supervision of student worker.
  • Other duties as assigned.

Environment: Work is performed primarily in a standard office and classroom settings with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, dust and noise.

Physical: The position is generally sedentary while in the office, this position does require the employee to be mobile to do site visits and give presentations. Employees sit most of the time, but may walk or stand for brief periods of time. Primary functions require sufficient physical ability and mobility to work in an office setting and to travel; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. Able to work nights and weekends to attend events.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
