Director, International Exchange and Study Away Program

This position will assist in supporting the educational mission of the College by providing leadership and support in the development, execution and maintenance of international and domestic study away experiences for ArtCenter students. Director will be instrumental in building policy and procedural infrastructure to implement college-wide strategies for increasing study away opportunities and student engagement in these programs. Director will work closely with students, faculty, department chairs and staff to ensure that international and domestic experiences are well-integrated with institutional goals and individual students’ academic, professional, and personal goals. Additionally, Director is responsible for supporting programs and recommending policies that foster a deep campus-wide appreciation for human diversity and its critical role in defining and maintaining educational excellence.

Qualifications

  • Bachelor’s degree in education, counseling, business or related field from an accredited college or institution
  • 3 years of experience managing, including budgeting and supervisory responsibilities in a university-level study abroad office with progressive responsibility for the administration of study abroad programs
  • Experience developing faculty-led programs
  • Minimum 5 years of professional advising experience including knowledge of basic principles and issues of study abroad advising
  • Previous experience studying abroad at the undergraduate level
  • Effective oral and written communication skills in order to communicate with staff and the campus community, collaborate, establish and maintain cooperative working relationships
  • Ability to problem solve, organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines; ability to work effectively both independently and within groups
  • Handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
  • Strong computer skills, with proficiency in Microsoft Office Suite and Terra Dotta database or similar software
  • Demonstrated experience in and a commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Willingness to periodically travel domestically and abroad
  • Record of successful experience in partnering with academic and administrative departments


Preferred Qualifications

  • Master’s degree in education, counseling, business or related field from an accredited college or institution
  • Experience in art and design education

Essential Functions

Department Administrative Operations — 30%
  • General departmental leadership and oversight, overseeing the department budget, strategic planning, logistics, events, administrative support to implement operations
  • Provide strategic direction and oversight in the formulation, interpretation and administration of current and long-range policies, procedures and programs in accordance to the strategic plan of the college
  • Oversees recruitment, hiring, orientation, training and supervision of departments’ faculty and staff; oversee performance evaluation process, ensuring consistent use of all applicable policies and procedures; counsel, discipline and makes recommendations in terminations, as required
  • Manage Exchange and Study Away budget, vendor contracts and payments, exchange agreements, MOUs
  • Review institutional Study Away budget to track student deposits, student program fees, and vendor fees being balanced and allocated correctly per project
  • Collaborate with academic departments and others including but not limited to Alumni Relations, Career and Professional Development, Admissions, Enrollment Services, Marketing and Communications, the Design Office and Institutional Advancement on programs that enhance the student experience and promote opportunities for learning
  • Maintain marketing and communications materials, including internal and external websites
Study Away Program — 35%
  • Develop and direct new programs and partnerships from initial outreach and development stages through final program assessment and reporting in partnership with various internal and external stakeholders, global partner universities and colleges, and external study abroad providers and vendors
  • Serve as organizational point person for the coordination of all international education student opportunities including exchange programs, consortium agreements, and other short and long-term student experiences abroad
  • Actively promote international and domestic study away student experiences as an institutional educational priority by working closely with the Department Chairs, Admissions, and Student Affairs
  • Assist in the on-going assessment of all educational study-away programs by working closely with Provost, Department Chairs, Educational Partnerships and Designmatters
  • Advise students in consultation with Enrollment Services and their Academic Departments to ensure that study away experiences are well-integrated into an academic plan that meets students’ personal and professional goals leading to graduation
  • Work closely with staff and students in delivering pre-departure advising and orientation, including large event planning and individual advising sessions when necessary
  • Support and communicate with students currently studying abroad, and their parents as appropriate and respond to issues and problems as they arise during their program
  • Assist students in facilitating the re-entry process to address re-acculturation and ensuring strong retention of students studying away
  • Provide the tools to guide students in integrating their study away experiences with their academic, professional, and personal development
  • Work closely with the Student Academic Policy Committee co-chairs to ensure alignment of policies to promote institutional goals congruent to and supportive of study away experiences
  • Serve as the institutional liaison and primary advisor for the Fulbright US Student Program, as well as serve as the clearinghouse for resources on other fellowship programs requiring study away
Risk Management and Compliance — 30%
  • Analyze and advise campus stakeholders on potential risks related to health, safety, security, and finances and develop and maintain effective risk management policies and procedures to manage student’s study away experiences
  • Develop policies to support student success and minimize risk and liability by maintaining awareness and understanding of: the complex nature and dynamic lifecycle of study away programming, current domestic and global affairs related to travel health/safety/security, College policies, insurance policies, visa and immigration regulations, partner institutional policies, vendor policies, and the standards of best practices in the field of international education.
  • Lead the Study Away Emergency Response Team with emergency response, communications, and reporting
  • Develop and maintain effective procedures and planning timelines to promote student health, safety and overall wellness as well as maximizing opportunity for student learning and development
  • Coordinate planning with department chairs and faculty to address student life issues during the program planning stages such as housing, physical and mental health, overall wellness, transportation, and cultural adjustment
  • Help faculty prepare to lead study abroad programs by assisting them in understanding student wellness and student life concerns as well as associated institutional policies and procedures
  • Advise students, faculty, staff and parents on the institution’s administrative policies and procedures pertaining to study away
  • Conduct data collection and reporting for program assessment, program recruitment/promotions, student success and growth strategy development, institutional accreditation reports, Board of Trustees reports, Institute of Education's Open Doors survey, and Generation Study Abroad reports
  • Manage Terra Dotta software contract, payments and functionality; oversee training of outside department staff on usage for emergency response
Other Duties — 5%
  • Maintain active membership with NAFSA: Association of International Educators, International Institute for Education, and other professional higher education organizations related to international education and diversity; attend professional conferences and workshops to maintain current knowledge of immigration regulations
  • Serve on college-wide committees, such as Diversity and Inclusion
  • Other duties as assigned

Environment: Work is performed primarily in a standard office and classroom settings with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, dust and noise.

Physical: The position is generally sedentary while in the office, this position does require the employee to be mobile to do site visits and give presentations. Employees sit most of the time, but may walk or stand for brief periods of time. Primary functions require sufficient physical ability and mobility to work in an office setting and to travel; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. International and Domestic travel by car and airline and overnight travel is required. Able to work nights and weekends to attend events.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
